How to Embed Fonts in a PDF: Word, Acrobat and Canva

Stop your fonts being swapped on other devices by embedding them correctly when you export.

Why embedding matters

If a font isn't embedded, the reader's device substitutes another one. Layouts shift, text overflows and your brand looks off. Embedding packs the font inside the file.

Microsoft Word

  • File → Options → Save → tick "Embed fonts in the file".
  • Export with File → Save As → PDF, and choose Standard (not Minimum size).

Adobe Acrobat

Open Print Production → Preflight, run the "Embed missing fonts" fix-up, then save. Document Properties → Fonts lets you confirm every font says "Embedded".

Canva

Canva embeds fonts automatically in PDF Standard and PDF Print downloads. If text still looks wrong, the font licence may not allow embedding — swap to a different font.

Share it the smart way with Zip Link

Once your PDF is ready, upload it to zip-link.com to turn it into a page-flipping book with its own link, QR code and embed code. You can see who opened it, how long they read and which pages held their attention — and capture leads before they reach the end.
